This Privacy Policy explains how MedMasters Collaborative LLC ("MedMasters," "we," "us," or "our") collects, uses, shares, and protects information when you interact with our website, our coaching services, our AI hub tool, and any related products (collectively, the "Services").
This Policy applies only to information collected by MedMasters. It does not apply to information collected by your institution, your students, or any third party.
Information we collect
1.1 Information you provide directly
When you contact us, register for a Service, or otherwise interact with us, we may collect:
- Name and professional title
- Email address (typically your institutional email)
- Institution or affiliation
- Course or program context (for tailoring the Services)
- Payment information (processed by our payment processor, not stored by us)
- Communications you send to us
- Course content, learning objectives, and supporting documents you bring to sessions
1.2 Information collected automatically
When you visit our website, our hosting provider and any tools we use may automatically collect limited technical information: IP address, browser type and version, device type, date and time of access, and referring URLs.
We do not currently run third-party analytics tools. If we add analytics in the future (such as Google Analytics, Plausible, or similar), we will update this Policy and disclose what is collected and how to opt out where applicable.
1.3 Course content you bring to sessions
Course materials you share with us during the Services (learning objectives, syllabi, lecture notes, study guides, document links) are treated as confidential. We use this content solely to deliver the Services you have purchased. We do not publish, sell, or share Your Content with third parties except as needed to operate the Services, such as processing it through an AI tool we use to build the Artifact.
How we use information
We use the information we collect to:
- Deliver and improve the Services
- Process payments and issue receipts
- Communicate with you about your account, scheduled sessions, and Service updates
- Send marketing emails (only to subscribers who have opted in)
- Respond to your requests and provide customer support
- Comply with legal obligations and protect our legal rights
How we share information
We share information only as needed to operate our business. Specifically:
- Payment processor. We use a third-party payment processor [PLACEHOLDER: Stripe, Kajabi Payments, or other] to handle transactions. They receive your payment information under their own privacy policy.
- Email service provider. We use a third-party email service [PLACEHOLDER: Kit, Beehiiv, Mailchimp, etc.] to send transactional and marketing emails. They store your email and any subscriber attributes (such as signup source).
- Hosting and infrastructure. Our website and content are hosted by third-party providers. They may have access to technical logs that include IP addresses.
- AI tool providers. Course content you bring to sessions may be processed through third-party AI services (such as Anthropic, OpenAI, or similar) to generate the Artifacts. These providers are bound by their own data terms.
- Legal compliance. We may disclose information if required by law, court order, or to protect our legal rights or the safety of others.
We do not sell or rent your personal information to third parties.
Cookies and tracking
Our website may use basic cookies necessary for the site to function. If we add analytics, advertising, or other tracking cookies in the future, we will update this Policy and provide opt-out mechanisms where required by law.
Data security
We take reasonable steps to protect the information we collect, including secure transmission (HTTPS), restricted internal access, and selecting reputable third-party providers. No system is perfectly secure, however, and we cannot guarantee the absolute security of your data.
Data retention
We retain personal information only as long as needed to deliver the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Course content shared during sessions is retained for the duration of your Service and for a reasonable period afterward to allow for support requests, and is deleted upon written request or our normal retention schedule, whichever comes first.
Children's privacy
Our Services are designed for adult faculty. We do not knowingly collect personal information from anyone under 18. If you believe we have collected information from a minor, contact us immediately at [email protected] and we will delete it.
Your rights
Subject to applicable law, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your information
- Withdraw your consent to marketing emails at any time

California resident rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA):

9.2 Right to delete
You can request that we delete the personal information we have collected, subject to certain legal exceptions (for example, where the information is needed to complete a transaction or comply with a legal obligation).

You can request correction of inaccurate personal information we hold about you.
9.4 Right to opt out of sale or sharing
We do not sell or share your personal information for cross-context behavioral advertising. If we ever begin to do so, we will update this Policy and provide a clear opt-out mechanism.

We will not discriminate against you for exercising any of your CCPA/CPRA rights.
